This Privacy Policy explains how AdvisorHop ("we," "us," or "our") collects, uses, and protects information about (1) recruiting firms and their employees who use our Platform and (2) financial advisors and investment professionals whose information appears in our database.

1. What AdvisorHop Does

AdvisorHop provides a recruiting CRM and financial advisor contact database to independent recruiting firms ("Customers"). Our Platform uses proprietary technology and third-party vendors to combine publicly available regulatory data with additional sourced professional information to create a searchable database of financial advisor profiles. Customers use this database to identify, research, and contact advisor candidates as part of their legitimate business recruiting activities.

2. Information We Collect

A. From Platform Users (Recruiters and Firm Administrators)

  • Account information: name, business email address, firm name, and job title, provided during registration.
  • Payment information: billing name, billing address, and payment method. Card numbers are processed by our payment processor and are not stored on our systems.
  • Usage data: searches performed, advisor profiles viewed, notes and pipeline activity, feature interactions, and session timing.
  • Support communications: messages, emails, or other correspondence you send to us.

B. Professional Profile Data (Financial Advisors in the Database)

Our Platform database contains professional profiles of financial advisors and investment advisor representatives. We source this information from:

  • Public regulatory filings and government records
  • Publicly available professional and business information
  • Third-party data and enrichment providers

We describe these by category. We are not required to, and do not, identify the specific databases, vendors, or tools we use.

Professional profiles may include: full name, current and prior employer firm, business address, business phone number, professional credentials and licenses, regulatory registration numbers (CRD), and professional history. We do not intentionally collect home addresses, household data, Social Security numbers, consumer financial data, or personal financial account information.

Automatically generated content. Some profile fields — such as a short professional bio summary — are generated by an automated process from publicly available information, and are labeled as machine-generated. They are not the advisor's own words and are not verified or endorsed by the advisor. These summaries may contain errors or be incomplete and are not guaranteed to be accurate. Advisors may request correction or removal of these fields as described in Section 7.

You can opt out of our database at any time by emailing support@advisorhop.ai. See Section 7 for details.

C. Automatically Collected Information (All Visitors)

  • IP address, browser type, operating system, and referring URL
  • Pages visited on advisorhop.ai, time spent, and interaction events
  • Cookies and similar tracking technologies (see Section 5 for details)

D. From Website Visitors (Email Sign-ups and Contact Forms)

When you sign up to receive product updates, or submit our contact form, we collect the email address and any details you provide, and use them to send you updates and respond to your inquiries. You can opt out at any time by emailing support@advisorhop.ai, and we do not sell this information.

3. How We Use Information

We use information collected from Platform users to:

  • Operate, maintain, and improve the Platform
  • Authenticate users and manage accounts and subscriptions
  • Process payments and send billing and receipt communications
  • Provide customer support
  • Analyze usage patterns to improve product features
  • Send product updates and service notices (you may opt out of marketing emails)
  • Detect fraud, abuse, and security incidents
  • Comply with legal obligations

We use Professional Profile data to populate the Platform database so Customers can discover, research, and contact financial advisor candidates, and to maintain the accuracy and completeness of those records over time.

4. How We Share Information

We do not sell Platform user account information to third parties. AdvisorHop makes professional advisor profile data available to Customers within our B2B recruiting Platform — this is the core service we provide. We do not use information we collect for targeted advertising, and we do not provide information to third parties for their own marketing purposes. For information a Customer enters into their private pipeline, we act as that Customer's service provider: we process it only to provide the Platform to that Customer, do not use it for our own purposes, and do not combine it with another Customer's data or with our general advisor database.

We may share information with:

  • Service providers: Third-party companies that help us operate the Platform, including our authentication provider, database and storage provider, payment processor, and website analytics provider. These vendors are contractually required to use your information only to provide services to us.
  • Legal requirements: When required by law, regulation, legal process, or governmental request, or when necessary to protect the rights, property, or safety of AdvisorHop, our Customers, or the public.
  • Business transfers: If AdvisorHop is acquired, merged, or its assets are sold, user information may be transferred as part of that transaction. We will provide notice before personal information becomes subject to a different privacy policy.
  • With your consent: For any purpose not described above, only with your explicit consent.

5. Analytics and Cookies

We currently use the following analytics tools:

Google Analytics 4 — We use Google Analytics (provided by Google, Inc.) to understand how visitors interact with our website. Google Analytics uses cookies — small text files stored on your browser — to collect information such as your IP address, pages visited, time on page, and whether you are a returning visitor. This information is transmitted to Google and subject to Google's Privacy Policy. To opt out of Google Analytics tracking across all websites, visit tools.google.com/dlpage/gaoptout.

Product analytics — We may use product analytics tools, such as PostHog, to understand how registered users interact with Platform features. Any such tools are contractually restricted from using your information for their own marketing purposes. We will update this section as specific tools are configured.

You may configure your browser to decline cookies. Doing so may limit your ability to use certain features of the Platform.

6. Data Security

We implement industry-standard security measures to protect your information, including encryption of data in transit and at rest, access controls and authentication requirements, and database-level isolation controls that prevent data belonging to one recruiting firm from being accessible to another.

In the event of a security breach affecting your personal information, we will notify you and applicable regulatory authorities as required by applicable law.

No method of transmission over the internet is completely secure. While we take reasonable and appropriate steps to protect your information, we cannot guarantee absolute security.

7. Your Rights

Platform Users (Recruiters)

You may access, correct, or delete your account information at any time through the Platform's settings page. To request a copy of your personal data or to close your account, email support@advisorhop.ai. You may opt out of marketing communications by following the unsubscribe instructions in any marketing email we send. If you cancel your subscription, we retain your account data for 90 days during which you may request deletion; after that period, your account data is deleted, except where retained for legal, billing, security, audit, backup, or dispute-resolution purposes.

Financial Advisors in Our Database

If your information appears in our Platform database, it was sourced from public regulatory filings or other public sources — not provided directly by you. You have the following rights:

  • Access: Request confirmation of what information we hold about you.
  • Correction: Request that we correct inaccurate information (corrections are made based on updated regulatory filings or verified public sources).
  • Removal: Request that we remove your profile from our Platform database and add you to our suppression list so your profile is not re-added in future data updates. Email support@advisorhop.ai with your full name and CRD number (if known). We may take additional steps to validate your request and identity. We will process removal requests within 45 days.

US Residents — State Privacy Rights

Regardless of which US state you live in, you have the following rights with respect to personal information we hold about you:

  • Right to Know: Know what categories of personal information we collect, use, and share.
  • Right to Delete: Request deletion of personal information we hold about you, subject to certain exceptions required by law.
  • Right to Correct: Request correction of inaccurate personal information.
  • Right to Opt-Out of Sale: We do not sell Platform user account information. See Section 4 for how advisor profile data is made available within the Platform.
  • Right to Non-Discrimination: We will not discriminate against you for exercising your privacy rights.

To exercise these rights, email support@advisorhop.ai with "Privacy Rights Request" in the subject line. We will respond within 45 days, with the option to extend by an additional 45 days for complex requests.

California residents: The above rights apply to you under the CCPA/CPRA. A detailed disclosure table of data categories, sources, purposes, and retention periods will be published before broader platform launch.

8. Platform Constraints and Customer Compliance

AdvisorHop is a data and research platform — it does not place calls, send texts, transmit bulk emails, or take any action on behalf of Customers. The Platform does not provide data export, data resale, automated dialing, or consumer marketing capabilities.

Customers who use contact information from the Platform to contact advisors are solely responsible for their own compliance with the Telephone Consumer Protection Act (TCPA), the Federal Trade Commission's Telemarketing Sales Rule, and all applicable federal and state Do Not Call (DNC) regulations. Customers should consult their own legal counsel regarding TCPA exemptions applicable to professional recruiting outreach.

9. Data Retention

We retain each category of information only as long as needed for the purpose it was collected:

  • Account and billing information: for the life of your account, plus 90 days after cancellation, then deleted (longer only where law requires).
  • Usage data (searches, pipeline activity, feature interactions): for the life of your account, plus a reasonable period to resolve disputes and enforce our agreements.
  • Professional Profile data: while the advisor is professionally registered and the profile is maintained; refreshed periodically against public sources for accuracy.
  • Suppression list: retained indefinitely (identifier only) so a removed advisor is not re-added in future updates.

10. Children's Privacy

The Platform is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from minors.

11. Links to Other Websites

Our website and Platform may contain links to third-party websites. We are not responsible for the privacy practices of those websites. We encourage you to review their privacy policies.

12. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify registered Platform users by email or through a notice displayed in the Platform. The "Last updated" date at the top of this page reflects the most recent revision. Continued use of the Platform after an update constitutes acceptance of the revised Policy.

13. Governing Law and Contact
